This Privacy Policy describes how maiLane, Inc. ("maiLane", "we", "us") collects, uses, and shares personal information in connection with the maiLane platform, our website at mailane.net, and any related services (collectively, the "Services").
1. Information we collect
1.1 Account information
When you create an account, we collect your name, work email address, company name, and authentication credentials. If you sign in through a single sign-on provider, we receive identity attributes provisioned by your administrator.
1.2 Customer content
The Services receive, store, and route email messages and related metadata at the direction of our customers. We process this content as a data processor on behalf of our customers. We do not use customer content to train models or for advertising.
1.3 Usage data
We collect logs about how the Services are used: IP addresses, browser type, device identifiers, pages visited, and feature interactions. This data supports security, reliability, and product improvement.
1.4 Cookies and similar technologies
Our website uses essential cookies to operate the application, and optional analytics cookies to understand site usage. You can manage cookie preferences from the banner shown on first visit.
2. How we use information
- To provide, maintain, and improve the Services.
- To authenticate users and protect account security.
- To respond to support requests and communicate about the Services.
- To comply with legal obligations and enforce our agreements.
- For aggregated, anonymized analytics that do not identify individuals.
3. Legal bases for processing (EU/UK)
For users in the European Economic Area or the United Kingdom, we process personal data on the following legal bases: performance of a contract, our legitimate interests in operating and improving the Services, compliance with legal obligations, and where required, your consent.
4. Sharing of information
We do not sell personal information. We share personal data only as described below:
- With sub-processors who provide infrastructure, customer support, analytics, and email delivery, under written contracts. A current list is available on request.
- With your administrators when you use maiLane as part of an organization's workspace.
- For legal reasons where we are compelled by a valid legal process, or to protect rights, property, and safety.
- In a business transfer as part of a merger, acquisition, or sale of assets, subject to confidentiality obligations.
5. International transfers
maiLane operates in the United States and the European Union. When personal data is transferred outside the EEA or UK, we rely on Standard Contractual Clauses and supplementary measures consistent with applicable law.
6. Data retention
We retain customer content for as long as your subscription is active, plus a configurable retention window. Account metadata and audit logs are retained for the period required by applicable law and our compliance obligations.
7. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or port your personal data, and to object to certain processing. To exercise these rights, contact privacy@mailane.net. If you are an end user of an organization's maiLane workspace, please direct your request to your administrator first.
8. Security
We protect personal data with administrative, technical, and physical safeguards proportionate to the sensitivity of the data, including encryption in transit and at rest, access controls, and continuous monitoring. See our Security page for details.
9. Children
The Services are not directed to individuals under 16. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the Services or by email. The "Last updated" date above reflects the most recent revision.

Data Processing Addendum
Customers can execute our Data Processing Addendum (DPA) online from within the admin dashboard. The DPA incorporates the EU Standard Contractual Clauses and the UK International Data Transfer Addendum where applicable. A static copy is available on request to legal@mailane.net.
